1. Getting started

The schematic below outlines the steps involved in conversion of a printed textbook to Braille and audio format. We scan original textbooks, use LipiJnani Kannada OCR (optical character recognition) software to extract editable text. Each chapter with editable Unicode text is shared with volunteers to proofread.

1.1. Working with Google Docs

We will send you chapters as Google Documents. The chapter will be shared with you to the email ID you completed the training form with. Please check your updates or promotions folder and move our emails to your primary inbox. 

Click on the link in your email to open the Google Document. If you have signed into an account other than the one to which we shared the chapter with you, you will face issues in editing. We recommend you sign out of all your Google accounts and click on the link in your inbox.

2. Before proofreading

The Google document will let you read and correct the right away.  Enable Kannada input and turn on suggestion mode before you start editing. 

2.1. Enabling Kannada Input

  • Step 1: Open the chapter Google Document you are working. Click on File > Language Options > Choose Kannada

2.2. ENABLE SUGGESTING MODE

In suggesting mode, the corrections you do will stand out for the next reviewer to work on. You can also make use of the comments option to communicate with the team.

  • Step 1: On the extreme right end of the formatting toolbar, click on the Edit mode (pencil icon. Select Suggesting mode from the dropdown list.

3. Understanding the file history

The first page of the chapters will have information about the chapter. The very first line reads the status of file. The status lets you know if it is being proofread, available for proofreading, expected date of completion etc. Please update this line once you get this. You might find this already updated with your name, if not, please do. While you complete working on this chapter, you can update it to indicate the next stage. Here are some examples:

3.1 File history

The second component tells you about the file history, and enlists the names and dates of processes such as the source of the textbook, scanning, OCR conversion, proofreaders, reviewers etc. Keep an eye on this section. Your name would get added on to this list keeping a record of your contribution in the chapter. Please updated this when you are done working on the chapter.  

3.2. Notes

The third section is 'notes' that tells you if there are any special considerations. For example, if the chapter is too lengthy, the file could be shared with two volunteers and the details would figure in this section. 

3.3. Source PDF

The fourth and the last section provides the link to the original scanned PDF of the textbook chapter. This is the document you refer to correct the Google Document text. It is crucial to note that we are only creating textbook content that is close to what the published textbooks are. It is possible the published textbooks have errors. Please make a note of such changes and report to us when you submit the work log form (see below)


4. After proofreading

4.1. submit worklog

Visit our resources page or just key in www.kannadapustaka.org/worklog and you will find an embedded form to log your work. Please select your name from the list, enter your email ID, select the book, chapter number and key in number of hours and pages you worked on. 

If you don't find your name in the list,  please email us and we will add your name to the list. Notice you will find a section where you can paste the corrections in the original textbook  that you feel should have been done. We document this separately and communicate to the authorities.

4.2. TAKE-UP next chapter

While you submit the work log,  you can indicate if you can take-up another chapter. Please feel free to let us know your availability via email and we will revert back to you. You can always email us on coordinator@kannadapustaka.org if you want to reach out to us.

The sections below will guide you through how to make changes that would help make the textbooks compatible with Braille and Audio book formats. Please go through them carefully. 

5. What to correct and how?


5.1. Text boxes

Text boxes –  Place the text box appropriately in the flow of the running text and mention the beginning and ending of the text box content. Here is an example.

5.2. Special characters & spaces

Read the text carefully – The OCR software cant do very well when it comes to characters that are very close in their structure. Here are some common mistakes that gets missed. Please zoom in to make sure you catch these

ತ್ತ, ತ್ತೆ

 

Special characters – You might happen to correct ಹಳೆಗನ್ನಡ text, you might look for these characters: ಱ & ೞ . Here is how you can get them. Type the phonetically equivalent character and check towards the end of the suggested list

Fill in the blanks – the blank space should actually be written as blank spaces within brackets. Here are some examples. Use underscore ( _ ) instead of hyphen (-) 

Extra character space – It is common to leave an extra space after correcting a character or a word.

Double space instead of one

Avoid using series of spaces to separate text. Use enter or if necessary. 


5.3. Describing tables

Tables – Tables should be described. Mention the number of columns, column heads and subdivisions if any. This should be typed in, as if it is being read out. Here is an example

5.4. Matching list

Match the following lists – should be described as list. First describe the structure and number of entries in the list and then number both the lists. Here is an example.

 

5.5. Photos and figures

Figures   – Don't display the left-hand folder navigation on pages in a folder.

Audio books cannot have figures, so mention the figure number, figure title and then describe the figure in plain Kannada. This should be as if you are reading out the figure to them. Please see one possible example below.

This is one of the examples and it could be made better. These is no best way and we encourage our volunteers to discuss on our blog posts and come up with better solutions.

Flowchatrs – Describe the flowchart with appropriate text. Here is an example.

Photos – if there are photographs of people or events, mention the figure number or reference as required and if it is needed, describe it in the text. 


5.6. Numbered list and bullets

Numbered text The list with numbers (1, 2,3, etc.) should be converted to Kannada numerals (e.g., ೧,  ೨,  ೩, etc.)

Why is this needed? The audio conversion would read numbers in the language that it is.

Hence, it is important to have the text in the way it is read out.

For example,

1. ವ್ಯಾಸ ಭಾರತ  would be read as: ಒನ್. ವ್ಯಾಸ ಭಾರತ

. ವ್ಯಾಸ ಭಾರತ would be read as: ಒಂದು, ವ್ಯಾಸ ಭಾರತ

Example 2: 

This can be typed as below

Numbers in running text:  Years and quantities in the running text will behave differently depending on how the text around it is written. Consider the example below :

ಸ್ವಾತಂತ್ರ್ಯ 1947 ರಲ್ಲಿ ದೊರೆಯಿತು would be read as: ಸ್ವಾತಂತ್ರ್ಯ ಸಾವಿರದ ಒಂದು ಒಂಬತ್ತು ನಾಲ್ಕು ಏಳು ರಲ್ಲಿ ದೊರೆಯಿತು [Note the number being treated as places rather than a whole number]

ಸ್ವಾತಂತ್ರ್ಯ ೧೯೪೭ ರಲ್ಲಿ ದೊರೆಯಿತು would be read as: ಸ್ವಾತಂತ್ರ್ಯ ಸಾವಿರದ ಒಂಬೈನೂರಾ ನಲವತ್ತೇಳು  ರಲ್ಲಿ ದೊರೆಯಿತು [Note that the space would he heard as a gap in the voice and wont be read automatically]

ಸ್ವಾತಂತ್ರ್ಯ ಸಾವಿರದ ಒಂಬೈನೂರಾ ನಲವತ್ತೇಳರಲ್ಲಿ ದೊರೆಯಿತು would be read as: ಸ್ವಾತಂತ್ರ್ಯ ಸಾವಿರದ ಒಂಬೈನೂರಾ ನಲವತ್ತೇಳರಲ್ಲಿ ದೊರೆಯಿತು [This would sound exactly same]

 

‘15 ನೇ ವರ್ಷ‘ should be typed as: ಹದಿನೈದನೇ ವರ್ಷ

೩೪ ರಾಜ್ಯಗಳು should be typed as: ಮೂವತ್ತನಾಲ್ಕು ರಾಜ್ಯಗಳು.  

Bulleted text  should be converted to numbered text using Kannada numerals.


5.7. Chapter index: ಪರಿವಿಡಿ

  • In place of tabular model, we adopt a descriptive approach. We describe in text the the sub-sections of the book upfront with mention of the total number of chapters in each. Instead of a table, there we will have a list of sorts that includes 1) the chapter number, 2) chapter name and 3) name(s) of the authors followed by 3) page number ranges. Start and end page number is mentioned  irrespective of the print version. This descriptive approach will help listeners get an idea of the structures easily.

6. Formatting textbooks for audio conversion

Here are some of the important details that goes into audio synthesis. A small core group of volunteers do this last step before the chapters are uploaded as podcast episodes. 

Revised publication

  • We always include the names of volunteers who worked on a previous edition of a particular chapter. Unless the chapters are completely re-done, we make sure the contributions of all volunteers are included. 
  • The contributors list will include the names of  all contributors including the ones who sourced the book, converted, organised chapters, coordinators, proofreaders, reviewers, final editors and audio / Braille converters, the ones who upload. Coordinators pre-empt some of these names such as uploader etc., before preparing the final text for audio conversion

7. FAQs

6.1. Can i share the files i get? The 2012 amendment to the Indian Copyright Act of 1957 allows use of copyrighted material to be converted to accessible formats for the benefit of visually challenged and other disabilities / special needs. Please do not share the files you received for proofreading with anyone else. All the textbooks we have created are available upon request.

6.2. How many rounds of cleanup? You will only see a chapter once but each chapter goes through at least 4-5 rounds of cleanup and reviews. We further print the cleaned version and get teachers to correct them. Corrections are reviewed by volunteers who have experienced in process of proofreading. As a proofreader, you may eventually volunteer to reviewing proofread chapters that other volunteers have corrected.

6.3. Why not create paragraphs? We suggest you keep the line breaks and paragraphs as they are shared with you though it may not sound intuitive. It is easier to refer the printed text when these line breaks and pagination match printed version. 

6.4. Should i insert paragraph spacing? Paragraph spacing are for print formatting. Both audio and Braille conversion require a different formatting standard. Let the line breaks and paragraph breaks be as they are when you proofread.

 

6.5. What if there are missing pages? If there are missing pages, mark or highlight it in the document and let us know. Highlight the text where you indicate missing page so it draws attention.

6.6. When is the formatting done? Formatting is done in the very last stage just before conversion. Braille and Audio conversion require a set of formatting which is NOT the normal formatting that we know. We do it after the chapter is ready after all corrections.

6.7. Should i include End of page? It is a good practice to indicate and write the end of each page in line with printed book. The chapter will have “End of page xx” at places. Change these to ಪುಟ ೧೨ before each page starts. Use page numbers as in the source PDF. Note that the position of this pagination reference is before the beginning of each page and "End of page..." reference has to be deleted.
